Vår Energi is a Norwegian oil and gas company producing around 400,000 barrels of oil and gas per day. They operate across 42 producing fields with 190 licenses and employ around 1,400 people. The company was formed through a series of mergers and acquisitions starting in 2018, bringing together Point Resources, Eni Norge, ExxonMobil's Norwegian upstream business, and Neptune Energy Norway.
THE PROBLEM
The answers were there. Finding them wasn't easy.
Vår Energi is the result of four organizations becoming one (Point Resources, Eni Norge, ExxonMobil, and Neptune Energy Norway). Each company brought its own culture, processes, and documentation.
Arribatec led a major revitalization of Vår Energi's management system, VEMS, built on QualiWare. They reduced the volume of documentation by over 60%, established a clear process architecture, and brought structure to roles and responsibilities. Today, VEMS holds over 1,000 governing documents and more than 400 workflows that describe what Vår Energi does, how they do it, and who is responsible.
But even with a well-structured management system, employees still spent too much time finding the right information. The existing search only matched document titles. If you didn't remember the exact name of what you were looking for, you got nothing.
The frustration showed up in employee surveys. Usability was a recurring concern. For offshore workers especially, people who work two weeks on and four weeks off, remembering where to find the right document was a real challenge. And when people can't find what they need, they stop looking.
The management system had the answers. The problem was getting to them fast enough.

Arribatec, who had been leading a broader revitalization of VEMS, integrated Ayfie's search and Business Agent directly into the management system through Ayfie's API.
Ayfie is embedded into the VEMS interface. For employees, it feels like a natural part of the system they already know. No extra logins or switching between applications. Ayfie indexes all governing documents in Vår Energi's SharePoint environment, as well as the processes modeled directly in QualiWare. That means it searches across content and metadata, not only titles.
Here's what that looks like in practice. An offshore worker needs to know where the lifeboats are located on the Balder platform. With the old title search, a query for "emergency Balder" gave zero results. With Ayfie, relevant documents surface immediately, including a 176-page emergency preparedness plan. But the offshore worker doesn't need to read 176 pages. They send the document to the Ayfie Agent and ask: "Where are the lifeboats?" In seconds, they get a precise answer with the exact locations.
The agent handles more than simple lookups. A line manager wondering about their role in the recruitment process can send the relevant document to the agent and ask: "What is my role in this process?" The response lists their specific responsibilities and activities, pulled straight from the governing documentation.
The agent can also compare documents and processes to identify duplicated or contradictory information, exactly the kind of cleanup work you need after multiple mergers.
THE IMPACT
The feedback from Vår Energi has been clear: both employees and leaders find the management system far more relevant to their daily work. Simpler. Faster. And people are actually using it.
With 1,400 employees who all need access to the management system, the potential time savings are significant. Instead of scrolling through document tables, clicking through process models, or giving up entirely, people can just ask a question and get an answer grounded in their own governing documentation.
The threshold for using VEMS has dropped. What was once a source of frustration is becoming what it was always meant to be, a single source of truth that people trust and turn to. Adoption is still growing, but among those who've started using Ayfie's search and Agent, the response has been consistently positive.
NEXT STEPS
From search to continuous improvement
Arribatec is exploring more specialized use cases using Ayfie's feature for instructions. One example in testing is an Agent improving Business Processes. The agent analyzes process diagrams modeled in QualiWare and evaluates the efficiency and complexity. It identifies bottlenecks and delivers prioritized suggestions for improvement. The agent gives teams a strong starting point for discussions they might not have had otherwise. Arribatec is now refining the agent's capabilities before rolling it out to the wider organization, turning QualiWare from a search tool into one that actively improves how work gets done.
